Position Summary
This recruitment will be used to fill two (2) part-time (a maximum of 24 hours per week) positions for the College of Health at Oregon State University (OSU).
  • This position will provide office support for the School of Exercise, Sport, and Health Sciences administrative unit as well as the PAC (Physical Activity Classes) and FSF (Faculty Staff Fitness) programs. 
  • This position has daily contact with students, faculty, and participants via phone, email and in person.
  • This position will work on marketing and office outreach projects.
  • This position reports directly to the Administrative Assistant to the School Head and will receive direction from other office staff.

Position Duties
  • This position will provide office support for the School of Exercise, Sport, and Health Sciences administrative unit as well as the PAC (Physical Activity Classes) and FSF (Faculty Staff Fitness) programs. 

Customer Service
  • Provide excellent customer service to faculty, staff, students and other participants in the office, as well as via phone and email.
  • Help FSF participants and PAC students get registered for classes in person, through Ideal Logic, and over the phone – including taking cash and credit card payments and use of register. 
  • Assist students with override, add/drop class petitions process, non-credit registration, class audit process, and change of grading process for PAC courses. 
  • Open, close, and cover the office independently after satisfactory training is completed. 
  • Other duties as assigned.

Administrative
  • Assist with management of several email addresses, phone traffic, and daily operations of the Office. 
  • Assist Administrative Assistant to the School Head and other office personnel, including School faculty, on projects as needed. 
  • Complete daily/weekly office tasks as assigned. 
  • Prepare and submit supply orders through Benny Buy; assist with supply and resource management of Langton Hall. 
  • Set up/design Qualtrics surveys.
  • Assist with data collection and entry, record keeping and reconciliation, scanning and copying documents; maintenance of filing system, office procedure manual, and security of confidential information 
  • Assist with emergency management as needed (getting EMS to the classroom, AED/FA Kit, etc). 
  • Manage and distribute incoming/outgoing mail in Langton Hall. 
  • Other duties as assigned.

Marketing & Outreach 
  • Attend tabling events for PAC and FSF (Beaver Fair, Benefits Fair, New Student Fairs, etc) to support enrollment in programs 
  • Create and distribute print media following department and university branding requirements. 
  • Create and post social media content including pictures, graphics, and videos. 
  • Assist with management of bulletin board and other building signage, as well as digital advertising TV in Langton hallway. 
  • Support termly and seasonal events.

Minimum Qualifications

  • Passion for supporting College of Health, ESHS, FSF and PAC missions 
  • Attention to detail and organizational skills 
  • Ability to work collaboratively 
  • Excellent customer service skills including strong communication skills and enjoys interacting with a wide variety of people
  • Willingness to create social media content 
  • Ability to ensure confidentiality of data 
  • Microsoft Office skills – Word, Power Point and Outlook 
  • CPR/AED/FA certification within 45 days of hire, certification offered for free through our office. 
  • Satisfactory NSOPW check 
  • Minimum of 10 hours and 3 days of availability, preferred availability of at least 4 days per week for 3+ hour shifts. 
  • Maintain eligibility for student employment

Preferred (Special) Qualifications
  • 1+ years of customer service experience 
  • Experience in social media content creation/management for business/public profiles 
  • Experience with Ideal Logic registration software 
  • Experience with Canva
  • CPR/AED and First Aid certified. 
  • Availability to work up to 24 hours per week 

Working Conditions / Work Schedule
  • This position will work primarily in Langton Hall Room 123 with brief duties assigned in Women’s Building or running errands around campus. This position does not include remote work. Langton Hall is heated but not cooled. The office is ADA accessible. 
  • Scheduling is flexible around course schedule; shifts of 2-3 hours are preferred around the midday hours (10a-2p) 
  • Minimum of 10 hours per week, maximum of 24.
  • Summer work may be available.
  • The office is closed on university holidays and weekends. This position will be working at a computer workstation, both standing and sitting; may be asked to lift boxes or equipment of approximately 40lbs.
