Position Summary
The part-time receptionist serves as the first point of contact for the Office of the Dean in the Rosenberg School of Optometry (RSO) directing visitors and callers as appropriate. Position also assists with general office duties in support of school. The receptionist reports to the Dean, Rosenberg School of Optometry.
Position is located at RSO facility near the Medical Center at 9725 Datapoint Dr, San Antonio, TX 78229.

Description of Job Duties
  • Serves as the first point of contact ensuring all clients, faculty, staff, students, and visitors entering the building. Notifies the appropriate personnel of visitor arrival and escorts visitors and students to the appropriate office.
  • Resolves customer concerns by either addressing them directly or referring them to the appropriate person.
  • Provides administrative support by assisting with general office tasks for the Dean’s suite such as preparing outgoing mail, retrieving incoming mail, managing the office and master calendar, resolving potential scheduling conflicts, filing, and other administrative duties.
  • Maintains a clean and organized workspace and embodies a “smile in your voice” when speaking to callers and greeting people.
  • Manages printer and copier stations, alerting Dean’s suite for actions needed, restocks supplies in lecture halls and faculty lounge, assists with set up and break down of events as needed.
  • Maintains continuity among work teams by keeping the Dean’s suite informed of activities and needs in the lobby area.
  • Answers the phone quickly and professionally with a goal of answering within two rings.
  • Performs other duties as assigned.

Required Education
High school diploma or equivalent.
Required Work Experience
Two (2) years of office support experience in a complex office setting.
Preferred Qualifications
  • Office support experience in a higher education, optometry, or similar environment.
  • Bilingual skills in Spanish language.
  • Two (2) years of related experience in an office management or optometry practice setting.

Work Hours
20 hours per week within the standard office hours of Monday through Friday 9am to 4pm with occasional extended hours or weekends as needed to meet departmental goals.
Physical Demands
  • Ability to lift up to 15lbs for table set-up/tear-down at events.
  • Ability to lift up to 20lbs of office/event materials, to include ability to reach overhead, bend, and squat to retrieve said materials.
  • Ability to push/pull event/equipment carts holding up to 45lbs.
  • Ability to actively engage in events for extended periods of time. Ability to regularly move about campus and event venues to actively engage faculty, staff, and potential/current students, as well as attend meetings on campus.
