Join the Office of Human Resources at Angelo State University as a key support professional ensuring smooth, efficient daily operations. The Office Coordinator I provides essential administrative support by managing daily office activities, including calendar coordination, purchasing, budget tracking, bookkeeping, and processing personnel and payroll transactions. The role may also perform specialized tasks unique to HR that fall within the position’s responsibilities and skill set.
Typical Duties/Job Duties
1. Customer Support
  • Oversees the HR reception area; provides information, answers phones, routes calls, takes messages, and schedules appointments for HR staff.
  • Communicates effectively with faculty, staff, students, visitors, and others while performing work or coordinating tasks.
  • Maintains a working knowledge of HR functions and initiatives to ensure efficient and helpful customer interactions.

2. Clerical Duties
  • Establishes office and records‑maintenance procedures; develops office procedure manuals; prepares or oversees the preparation of university forms, informational materials, and documents; reviews reports and other materials for accuracy and completeness.
  • Composes correspondence based on subject‑matter knowledge or instructions; takes and prepares meeting minutes as requested.
  • Opens and distributes mail, attaching related materials as appropriate.

3. Office Oversight
  • Creates and maintains databases; oversees the maintenance of employee records; maintains mailing lists and inventories.
  • Reviews and monitors temporary employment tracking points and limitations, communicating potential issues to the HR Director.
  • Ensures appropriate office coverage to maintain high‑quality customer service for the campus community and external visitors.

4. Specialist Support
  • Maintains awareness of peak work periods, projects, and support needs for HR Specialists.
  • Provides clerical support as needed to ensure the success of HR Specialist initiatives.

5. HR Director Support
  • Assists with scheduling meetings with employees and groups by managing the HR Director’s calendar and coordinating directly as needed.
  • Identifies and communicates opportunities to enhance the customer experience through streamlined HR processes and improved interactions.
  • Supports travel arrangements and travel‑reimbursement reconciliation processes.
  • Performs other duties as assigned.

Knowledge of:
  • General office procedures and practices
  • Spelling, grammar, and punctuation
  • Academic and higher‑education terminology and processes
  • Word processing, database, and spreadsheet applications and software
  • Payroll and human resources processes

  • Organize and complete tasks accurately and in a timely manner

Minimum Qualifications
Education
  • High school diploma or GED certificate.

Experience
  • One year of experience as an executive, administrative, or departmental secretary, or comparable administrative support experience.

Equivalent Combination
  • A combination of education and experience that provides the knowledge, skills, and abilities necessary to successfully perform the duties of the position may be considered.
