General Statement
University Human Resources is the strategic partner behind Montana State University’s workforce. Duties and Responsibilities
Human Resources Associates provide a variety of essential services, including facilitating communication across campus, offering procedural guidance, and assisting with problem resolution. The role includes analyzing situations and conducting thorough research to achieve effective resolutions while maintaining confidentiality throughout the process.
Onboarding New Employees:
  • Facilitate new-hire onboarding, ensuring timely completion of required paperwork and participation in orientation programs.
  • Provide information to help new employees understand policies and procedures.

Employee Records Management:
  • Maintain accurate, up-to-date employee records in compliance with university policies and federal regulations governing hiring, position changes, departures, and other personnel actions.
  • Process and manage employee data efficiently and securely within established systems.

Customer Service and Support:
  • Respond to frequently asked questions from the campus community regarding standard HR policies and federal procedures.
  • Provide accurate and timely information while referring complex inquiries to the appropriate HR personnel.
Required Qualifications – Experience, Education, Knowledge & Skills
  • Administrative Experience: Experience working in an administrative support or customer service role within a professional office environment, or an equivalent combination of relevant education and experience.
  • Data Entry and Records Management: Experience performing high-volume data entry and maintaining electronic databases or confidential records. 
  • Communication and Procedural Guidance: Experience explaining standard policies, procedures, or instructions to internal or external individuals in both written and verbal formats.
  • Document Creation and Editing: Experience using standard office software to draft, format, and edit professional documents, spreadsheets, and business correspondence.
  • Software Experience: Experience operating standard office software applications (such as the Microsoft Office Suite, databases, and email systems) to process information and support daily business operations.
  • Preferred Qualifications – Experience, Education, Knowledge & Skills
  • Demonstrated ability to prepare and deliver informational presentations or training sessions to small and large groups.
  • Experience researching, gathering, and compiling information to evaluate and resolve administrative or operational inquiries.
  • Prior responsibility for interpreting, applying, and explaining complex organizational guidelines, policies, or procedures.
  • Experience performing detailed data entry, reporting, and records management within multi-relational databases or enterprise systems.
  • Combination of education and/or applicable experience equivalent to a Bachelor’s degree in Human Resources or other related field or experience in Human Resources.
