Executive Coordinator - Office of the Chancellor

The Executive Coordinator to the Chancellor will play an important role in assisting the Chancellor to achieve maximum impact on strategic and other matters that benefit the mission, vision, and strategic objectives of the Virginia Community College System.
Reporting directly to the Chancellor, the Executive Coordinator to the Chancellor coordinates and performs a variety of executive and administrative projects and support duties in support of the Chancellor and members of the Chancellor’s Cabinet, with a focus on internal operations, effective communications and project management.
The Executive Coordinator to the Chancellor will provide a high-level of specialized and complex administrative support and coordination, help the Chancellor manage special projects to completion, research and analyze topics of interest or priority, develop presentations and communications such as speeches, and support key leaders who assist with governmental and internal administrative and operational matters of the System.
The Executive Coordinator will serve as a key leadership team member in planning and facilitating effective and timely communication and coordination between internal teams in support of major systemwide events, projects, initiatives, timelines and deliverables. This position will work closely with the Chancellor’s office staff, governance groups, and other systemwide leadership.
This position will be report directly to the Chancellor and and work with the Executive Coordinator and Liaison to the State Board as needed.

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

• Knowledge of basic budget monitoring and purchasing procedures within a public-sector environment.
• Knowledge of administrative procedures, organizational operations, and executive office practices within a complex organization
• Knowledge of project management principles, processes, and techniques
• Knowledge of organization and time management principles
• Advanced written and verbal communication skills, including drafting speeches, presentations, reports and executive correspondence

• Demonstrated experience supporting executive or senior-level leadership within a complex organizational environment
• Experience planning, coordinating, facilitating, and/or participating in senior executive level meetings and events.
• Experience working in a fast-paced, high-visibility setting.
• Experience using technology and office systems to improve workflow efficiency and support executive operations.
• Experience coordinating, planning, or facilitating executive-level meetings, initiatives, or special projects.
• Experience exercising sound judgment, discretion, and confidentiality in handling sensitive matters
• Experience drafting executive-level correspondence, presentations, reports, or briefing materials.
• Experience researching, organizing, analyzing, and synthesizing information to support leadership decision-making.
  

• Working knowledge of governmental and legislative processes to support executive coordination and compliance tracking.
• Experience supporting executive leadership in a public-sector or higher education environment.
• Experience coordinating cross-functional projects involving multiple stakeholders.
