The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
The Divisional Administrator ? Level I provides operational and administrative leadership support for the Divisions of Neuro-Oncology and the Hospital based divisions within the Department of Neurology. Reporting to the Division Chief and working in close partnership with departmental leadership, this role supports clinical operations, research administration, finance, faculty affairs, and compliance in alignment with the division?s missions of patient care, education, and research. The position supports physician leaders by assisting with operational efficiency, financial tracking, and regulatory compliance while developing increasing responsibility and independence.
Responsibilities
Financial
- Partner with the Division Chief to support divisional strategy and operational initiatives.
- Assist with oversight of divisional budgets and financial performance across clinical practice, faculty compensation, and sponsored research.
- Monitor budget variances and prepare analyses identifying areas for financial improvement, business development, and strategic planning.
- Work with the Department Administrator/COO to support strategic planning for growth initiatives and physician compensation models.
- Assist with the creation and follow-through of recruitment and replacement business plans.
- Support grants management monitoring in partnership with the Department?s Research Administration team.
- Maintain records related to master service agreements with outside vendors.
- Identify potential cost-saving and efficiency opportunities and escalate recommendations to divisional and departmental leadership.
- Process and administer expense reimbursements for faculty and staff.
- Assist with preparation of annual salary rosters.
Operations
- Support day-to-day divisional activities; assist in resolving operational issues; monitor workflows; and support work assignments for administrative staff.
- Maintain inventory of divisional space and assist with space utilization tracking, IT needs coordination, and moves or renovations.
- Provide support to divisional administrative staff and assist with implementation of
standardized workflows.
Administrative / Human Resources
- Collaborate with the HR pod and VP&S Onboarding team to coordinate hiring, appointments, promotions, salary allocations, and credentialing.
- Serve as a resource for staff questions regarding HR policies and procedures.
- Support performance management processes, including tracking annual evaluations and assisting with performance improvement plans.
- Assist with supervision and development of divisional administrative staff.
Compliance
- Support compliance with institutional policies, healthcare regulations, and sponsored research requirements.
- Assist with review and dissemination of SOPs and policy updates to staff
Minimum Qualifications
- Bachelor's degree or equivalent in education and experience, plus four years of related experience
Preferred Qualifications
- 5 years of related administrative experience
- Energetic contributor and willing learner.
- Ability to prioritize tasks thoughtfully.
- Organized and detail-oriented with developing physician relations skills.
- Ability to communicate effectively with cross-functional partners
