Job Summary/Description
The Innovative Projects Coordinator within the AI Center of Excellence (COE) supports the AI COE team by coordinating AI innovation projects and tracking tasks, deliverables, budgets, and overall progress. The position organizes meetings, maintains project documentation, and follows up on action items to ensure accountability. It monitors project risks and assists teams in keeping initiatives on schedule and within scope. The role also manages the AI COE budget, contracts, student and staff travel, and procurement activities.
This position is grant funded. Continued employment past the funding guidelines is not guaranteed.
Typical Duties/Job Duties
  • Coordinate AI innovation projects by tracking tasks, deliverables, budgets, timelines, and overall progress to ensure initiatives advance according to established goals and milestones.
  • Facilitate project communication and meetings by organizing and scheduling meetings, preparing agendas, documenting discussions, and following up on action items to ensure accountability among project stakeholders.
  • Maintain project documentation and reporting by organizing records, tracking project updates, and preparing summaries or reports that support transparency and informed decision-making within the AI COE.
  • Monitor project risks and timelines by identifying potential barriers, tracking scope and progress, and supporting project teams in keeping initiatives on schedule and within defined objectives.
  • Manage administrative and operational support for AI COE initiatives by assisting with budget tracking, procurement processes, contracts, and coordination of student and staff travel related to AI projects and programs.
  • Knowledge, Skills and Abilities
    Knowledge
    • Knowledge of project coordination and project management principles, including tracking tasks, timelines, deliverables, and milestones.
    • Knowledge of basic budgeting and financial tracking, along with university procedures for procurement, travel, and contracts.
    • Knowledge of administrative and operational processes within a university setting, including documentation standards and compliance requirements.

    Skills
    • Skilled in organizing and coordinating multiple projects at the same time while maintaining accurate records of tasks, deliverables, budgets, and timelines.

    Abilities
    • Ability to monitor project progress and identify risks or barriers that may affect timelines, scope, or deliverables.
    • Ability to support multiple stakeholders and interdisciplinary teams while maintaining organization and clear communication.
    Minimum Qualifications
    • Bachelor’s degree from an accredited institution
    • At least three years experience working in business administration, project management, higher education administration
    Preferred Qualifications
    • Master’s degree from an accredited institution
