Job Summary

The Administrative Assistant is responsible for the effective and efficient administrative support of multiple initiatives in the Department of Psychiatry and Behavioral Medicine. This position will support providers in the psychology division as well as grant funded programs under the direction of the Executive Director of the Dept. of Psychiatry & Behavioral Medicine. This position must function effectively with minimal supervision as authorized by supervisor.

 

Key Responsibilities

  • Complete purchase requisitions and payment requests. 
  • Reviews professional development account activity for accuracy for each provider.
  • Makes travel arrangements for departmental staff per policy.
  • Maintains calendars; works closely with departmental staff and other personnel to coordinate schedules and resolve calendar conflicts, schedules appointments for the department.
  • Attends meetings on request and records and archives meeting notes and other documentation for reporting purposes.
  • Provides administrative support on grant activities as assigned.
  • Assists in preparation and implementation of department program event planning.
  • Utilize initiative and judgment to relieve the department and assigned providers of routine administrative duties.
  • Utilize excellent oral and written communication skills to prepare memos, formal correspondence, acknowledgements, notes, and reports.
  • Communicates with internal and external partners to accomplish essential tasks.
  • Reconcile departmental accounts.
  • Assists in the preparation of department budgets.
  • Answers phone calls, picks up and distributes mail, orders office supplies and food service as appropriate.
  • Assists psychology with submissions of credentialing packets to Medical Staff Services. 
  • Facilitates renewal of licenses, TB surveillance, FIT testing, and mandatory training.
  • Assists providers in completing time-off requests. Serves as a liaison between providers, timekeeping, and clinics.
  • Communicates with other departments regarding provider absences.
  • Other duties as assigned.

 

Required Education/Experience 

  • High School Diploma or equivalent.
  • Three (3) years of related experience.
  • A combination of education and experience may be considered.

  • Demonstrated knowledge working with deadlines and the ability to prioritize tasks.
  • Strong organizational skills.
  • Excellent written and verbal communication.
  • Strong technical writing and communication skills required.
  • Proficiency in Microsoft Office programs (Outlook, Word, Excel, PowerPoint).
  • Critical thinking and problem-solving skills.
  • Ability to handle sensitive information with absolute confidentiality.

Additional Information

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length. This position has the option to elect the Optional Retirement Program (ORP) instead of TRS, subject to the position being 40 hours per week and at least 135 days in length.

This position is security-sensitive and subject to Texas Education Code Section 51.215, which authorizes the employer to obtain criminal history record information. Applicants selected must be able to show proof of eligibility to work in the United States by time of hire.

Clinical Position Requirements

Clinical positions require pre-screening through our Occupational Health department, including a drug test.  Employees are required to obtain annual influenza vaccines.
