Job Summary

The Administrative Assistant II provides advanced administrative and clerical skills to support administrators, faculty and other professional staff members within the Department of Rehabilitation Sciences. The position exercises appreciable independent judgement in coordinating the details of the office.

 

Key Responsibilities

  • Develop and streamline financial operational efficiencies by processing purchase requisitions, payment vouchers, travel requests and reimbursements. 
  • Monitor expenditures and revenue against budgets, ensure accurate accounting records and facilitate monthly reconciliation of accounts.
  • Make travel arrangements and reservations and ensure that all travel policies and procedures are followed, and travel card purchases are kept current.
  • Support department as needed including scheduling meetings, assisting and creating reports, and conducting research.
  • Maintain office filing system and databases.
  • Order, maintain and inventory annually supplies.
  • Ensure that grant processing is accurate.
  • Other duties as assigned.

 

Required Education/Experience 

  • High School Diploma or GED equivalent.
  • Three (3) years of related work experience.
  • May accept a combination of education and experience.

 

Preferred Education/Experience

  • Associate or bachelor’s degree.
  • Three (3) years of experience in business account reconciliation and budget control
  • Demonstrated proficiency with MS Excel, Word and Outlook and experience in different accounting systems.
  • Database knowledge.

  • Proficient with Microsoft Suite.
  • Excellent customer service skills both in person and over the phone.
  • Strong organizational skills.
  • Understanding of operating standard office equipment.

  • Excellent interpersonal skills with a demonstrated record of completing assignments.

  • Ability to maintain confidential information.

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
