Admissions Officer I

The University of Florida, M.E. Rinker, Sr. School of Construction Management is looking for an Admissions Officer I to provide administrative support for the Construction Management Graduate Programs, including the Master of Science in Construction Management (MSCM), the Master of Construction Management (MCM), and the Ph.D. Concentration in Construction Management. This role includes oversight of the graduate admissions process, support for current students, and general administration of graduate program activities.

Rinker Graduate Program Admissions

• Advises prospective students regarding admission to the University of Florida Graduate School; receives, processes, and manages application materials for review; prepares and distributes acceptance, decline, and funding letters as needed; and maintains consistent communication with applicants, admitted students, faculty, and relevant staff (including HR when applicable) to facilitate the admissions process.
• Maintains a comprehensive database of all graduate program applicants, tracking admission progress, ensuring completion of application requirements, and sharing updates with faculty for internal review and feedback.
• Develops and updates evaluation and review forms for both master’s and Ph.D. applicants; coordinates with faculty to ensure timely evaluations and communicates final admission decisions to the Graduate School or College.
• Serves as the primary liaison between the Rinker School and entities such as the College Ph.D. Program, UF Admissions Office, UF Graduate School, UF International Center, the Registrar’s Office, and Rinker HR on matters related to graduate admissions.
• Collaborates with the College Ph.D. Program Director and the College Ph.D. Program Academic Advisor on all aspects of the admissions process for Ph.D. applicants in the Construction Management concentration.

Support of Current Rinker Graduate Students

• Assists graduate students with registration, dropping or adding classes, and other enrollment-related matters. Maintains academic records of graduate students, including collecting grades each term, tracking degree progress, and processing late grades, grade change forms, and petitions.
• Creates, administers, and supports students in completing Rinker School online forms during their graduate studies, including forms related to registration, grading, and thesis or dissertation defense scheduling.
• Maintains a comprehensive database of all current graduate students, tracking entry dates and progress within the program to provide up-to-date information on enrollment and program status.
• Communicates key academic deadlines to graduate students, including registration periods, drop/add deadlines, and thesis or dissertation submission deadlines.
• Creates and distributes defense announcement flyers for master’s and Ph.D. students to Rinker faculty and graduate students and posts announcements across multiple communication channels including email, calendar invitations, and the Rinker research news website.
• Collaborates with the College Ph.D. Program Director and the College Ph.D. Program Academic Advisor on Rinker-related matters for Ph.D. students in the Construction Management concentration.
• Notifies graduate students of critical graduation milestones and advises them when to consult with faculty advisors, the Rinker School Director of Graduate Programs and Research, or the DCP Ph.D. Director as appropriate.
• Submits semester grade reports to the Registrar’s Office by the required deadlines and maintains files related to student grades.
• Submits required documentation to the Graduate School related to supervisory committees, proposal and final examinations, candidacy status, and thesis or dissertation milestones.
• Conducts exit surveys for graduating students to collect feedback on the graduate programs, employment outcomes, and overall student experience. Maintains a database of graduate alumni and tracks job placement information.

Other General Administration:

• Provides administrative support to the Director of Graduate Programs and Research.
• Assists the Director of Graduate Programs and Research with preparing and updating reports related to graduate programs and research activities.
• Collects and maintains data for graduate program accreditation reporting and contributes to required program proposals, reports, and institutional documentation.
• Reviews and coordinates updates to the graduate program website, student handbook, and other program materials to ensure information is current and accurate.
• Compiles, analyzes, and reports key metrics related to graduate program enrollment, student progress, and research performance to support strategic planning and decision-making.
• Assists the Director of Graduate Programs and Research in coordinating graduate program events including the PhD Career Pathways in Academia & Research Workshop, Graduate Welcome Reception, Graduation Reception/Luncheon, Graduate Career Preparation Workshop, Graduate Programs and Research Committee Meetings, and recruitment events.
• Provides administrative support for other graduate programs and research activities as needed.

Provides backup support for the Undergraduate Program Admissions/Registrar Officer as needed.

Normal Work Schedule: 8:0am to 5:00 p.m. Monday - Friday

During special events, such as graduate recruiting or orientations, may be needed to work extra hours.

$50,000 - $56,000 annually

• Prioritization, organization, and coordination skills
• Computer and word processing, spelling, grammar, and composition
• Effective verbal and written communication including capability to make small group presentations
• Knowledge of online graduate program software/ system that the university utilizes.
• Familiarity with Microsoft Power Point and Excel, Qualtrics, DocuSign and virtual meeting platforms (e.g., Zoom).
