Salary offers are determined based on the final candidate’s qualifications and experience, as well as internal equity and other internal factors. Position Summary Information


Job Description Summary
The Experiential Education Program Administrator is a member of the Chapman University School of Pharmacy (CUSP) and Office of Experiential Education Office (OEE). The position manages and supports the experiential director’s and educators’ (full-time faculty and volunteer faculty) delivery of the IPPE (Introductory Pharmacy Practice Experience) rotation experiences. This position manages the daily operations of the IPPE programs.
The Program Administrator works with the OEE Director to maintain compliance with Chapman University’s and the Accreditation Council for Pharmacy Education’s (ACPE’s) policies and procedures. This position may conduct occasional routine site visits and respond to phone, email, and in-person inquiries. Other duties as assigned.
Responsibilities
Management and Support of Program Operations
  • Manage IPPE program by collecting site/preceptor availability and upload to CoreELMS, running lottery assignments from T1-T6, and coordinating daily program logistics.
  • Manage necessary IPPE assignment changes when appropriate.
  • Track student compliance and IPPE site requirements (e.g. background checks, drug screening, immunizations, BLS certification, clearances), and ensure accurate and up-to-date documentation in CoreELMS.
  • Maintain updated IPPE course requirements and materials in CoreELMS, including class-specific requirement page, syllabi, evaluation rubrics, and resources in the Document Library.
  • Document IPPE student issues in Canvas, provide available resources, and refer students to appropriate offices as needed.
  • Track experiential hours and timely student and site/preceptor evaluation completion for IPPE courses in Canvas.
  • Serve as a liaison between OEE and IPPE preceptors.


Provide administrative support

  • Serve as a primary liaison between the Office of Experiential Education Office (OEE), (and CUSP Dean’s Office, for adjunct faculty appointments.
  • Lead the management of experiential education learning platform (i.e. CoreELMs)
  • Manage timely and successful processing of volunteer faculty appointments to full execution.
  • In consultation with OEE Director and Assistant Director, update student orientation slides, preceptor development material and the Experiential Education Manual.
  • Design, write and compile information for biannual newsletter.
  • Act as liaison to the Office of Admission to help with pre-enrollment Core account set up.
  • Collaborate with Office of Assessment for analysis of experiential education data.
  • Gather and verify student and site assignments biannually for the purpose of Incentive Program reimbursement

Provide student services and support.
  • Create and manage communications with student pharmacists through CORE ELMS message center and gather information for completion of student pharmacist records and assignments.
  • Present the Core ELMS Bootcamp tutorial for first year student pharmacists entering IPPE rotations.

Participate in special events, meetings and projects
  • Participate in, as a representative of the School of Pharmacy and/or University, external events within the healthcare community locally to promote experiential learning opportunities for students.
  • Participate in accreditation and regulatory processes as appropriate.
  • Coordinate student events such as the Annual Preceptor Fair, and preceptor events such as the EEAC meeting, and Annual Preceptor Appreciation Dinner.
Required Qualifications
  • A minimum of four years of demonstrated professional experience in related functions, preferably in higher education.
  • A Master’s degree and/or equivalent combination of education and relevant work experience.
  • Proven ability to carry out duties in a timely manner
  • Proven ability to reason, prioritize, problem solve and communicate logically
  • Experience carrying out duties when faced with interruptions, distractions and a fluctuating workload
  • Skills for basic arithmetic and calculation skills
  • Technical skills to learn and use enterprise systems and departmental tools.
  • Excellent computer skills in word processing, excel spreadsheets, Internet and electronic mail with the ability to set up and maintain a database
  • Experience using standard office equipment such as copier, fax and calculator.
  • Strong organizational skills to maintain office files, schedule, calendar, and coordinate logistics for meetings and special events, including publications, media services and catering.
  • Ability to disseminate information and forward messages in a thorough and appropriate manner.
  • Demonstrate effective, clear and businesslike written and oral communications – including solid editing, proofreading skills.
  • Experience taking concise and accurate meeting minutes.
  • Excellent interpersonal skills with diverse groups and individuals at all organizational levels, both inside and outside of the University.
  • Excellent problem-solving skills.
  • Ability to use tact, diplomacy and maintain a high level of confidentiality.
  • Strong commitment to teamwork. Service-oriented, with ability to maintain a pleasant and helpful attitude.
Desired Qualifications
  • Experience in meeting/event coordination
  • Working knowledge of PeopleSoft.
  • Working knowledge of University policies and procedures that pertain to the duties of this position.
  • Working knowledge of CORE ELMS.
