Under general supervision, performs standard clerical and administrative duties. Requires demonstrated knowledge of the fundamental concepts, practices and procedures of the secretarial function usually gained through formal education in secretarial science or secretarial experience. Reads, prioritizes and routes incoming mail. Makes travel arrangements and reservations. Schedules appointments. Orders supplies, maintains databases and reports. Assists with special projects. Drafts and types correspondence. May supervise other support personnel. May handle confidential information, dictation and transcription. May verify insurance and process medical record requests.

The Office Associate II position under general supervision of the Administrative Supervisor will provide administrative support to health care providers in Peds Hematology and Oncology. They will provide direct support to the providers as it relates to clinical and administrative activities/services to the patients and their families.

Duties/Responsibilities:

  • Provides support for 5 or more faculty. Renew APA license yearly. Maintain calendar and assist in setting up meetings, luncheons, conferences, etc. Arrange travel arrangements. Prepare itineraries and accommodations as directed. Prepare requisitions for travel reimbursements. Assist with yearly medical licensure renewals. Submit physician medical re-certifications Process renewals of professional memberships. Assist with changing and blocking physician clinic schedules. Submit monthly leave reports in a timely manner.
  • Clinical Duties: Schedule and/or reschedule clinical appointments as requested. Answer patient-related phone calls and direct them accordingly. Fax prescriptions/supply order forms. Complete letters for patients and prepare them for signatures. Scan & download confidential patient records & documentation into Chartmaxx and iConnect.
  • Maintain faculty and fellows’ yearly schedules. Provide division with changes when notified. Serve as a healthcare coordinator. Maintain faculty schedules in SmartWebb in coordination with Communications.
  • Process all invoices and reimbursements. Submit request for office supplies. Create and proofread letters, acquire signatures. Scheduled meetings, draft agendas, and take minutes as requested

Salary: $15.00 - $24.40

 

Qualifications

 

High School diploma or GED and five (5) years of related experience required. 

Preferred:

  • Experience: Experience in complex clerical duties.
  • Knowledge, Skills, & Abilities: Written and verbal communication skills, Interpersonal skills
  • Skills: Ability to work independently with minimal supervision. Organizational skills to prioritize workload and meet deadlines
