Description:

Provide patient-related support functions and non-medical support services in University Health Service, Occupational Medicine Clinic and medical surveillance patients.

Duties & Responsibilities:

  • Creates, maintains and updates files and records for the unit.
  • Correctly schedules and registers patients for appointments in Agility and in Epic by obtaining and recording demographic data and insurance information if applicable in accordance with prescribed policies and procedures.
  • Enters, codes, verifies, stores, updates and retrieves information concerning a patient's medical record manually or via Agility, Epic and/or Immuware or other computer systems; compiles and records medical charts, reports, correspondence and insurance information using a computer system.
  • Prepares reports and updates information in Box.
  • Coordinates patient flow including but not limited to greeting incoming patients, checks in patients, assembles and prepares patient information forms and assists with completion of these forms including but not limited to consent forms, first report of injury, release of information; serves as an information resource for patients by answering questions concerning departmental procedures, services and policies.
  • Informs new patients of billing, payment and insurance procedures and guidelines.
  • Assists with discharge of patients by scheduling follow up appointments and processing payments as needed.
  • Enters information including tests results into Agility by scanning or quick loading as necessary.
  • When needed, directs patients to appropriate facilities at University of Illinois Hospital, Specialty Care Building and Outpatient Care Center such as laboratory, Radiology, etc.
  • Accepts, screens and routes incoming telephone calls appropriately and takes accurate messages.
  • Relays messages to appropriate person in timely manner.
  • Receives payment for fees, bills, and assessments.
  • Collects co-payments at time of service.
  • Verifies amount due as shown on invoice against payment offered.
  • Issues receipts as necessary and prepares checks to be deposited.
  • Deposits payments received within a framework of explicit procedures and instructions.
  • Processes credit card payments, batches daily transactions and verifies all receipts attached to payments.
  • Maintains daily receipt log for checks.
  • Assists with mass vaccination events and performs N95 respirator fit testing.
  • Advises supervisor of any safety problems concerning the unit.
  • Reports patient feedback, identifies problems and trends and suggests resolutions to higher level personnel.
  • Alerts supervisor to problems that many occur; provides input to supervisor regarding the needed changes in the reception area.
  • Perform other related duties and participate in special projects as assigned.

Minimum Qualifications Required:

1. High school diploma or equivalent.

2. Any one or any combination totaling one (1) year (12 months), from the categories below:

A. Work experience comparable to that performed at the Medical Office Assistant level or in other positions of comparable responsibility.

B. Work experience in a health care facility such as a doctor's, dentist's, or hospital's office; which involved record keeping, working with the public, direct patient contact, answering telephones, and working with medical terminology.

C. Graduation from an accredited medical secretarial or paramedical program, such as nursing assistant, medical assistant, or medical secretary.
