Brief Position Overview
The Jabs Business Operations Manager serves as a key strategic and operational member of the Jabs Leadership Team, providing advanced administrative, fiscal, and human resource-related support in alignment with the College’s mission. This position manages core business operations, ensures consistent execution of college-level processes, and supervises two direct reports while collaborating across departments and units within MSU. The person in the position is expected to act with high degree of autonomy , exercise discretion, and good judgment in often complex situations, involving personnel matters.

General Statement
The Jake Jabs College of Business & Entrepreneurship offers a B.S. in Business with options in Accounting, Finance, Management, and Marketing and a Master of Professional Accountancy degree. The College has about 25 tenure-track faculty who are augmented by an experienced group of professionally qualified faculty. Duties and Responsibilities
Strategic Operations & Administrative Leadership
  • Serve as a key member of the Jabs Leadership Team, execute and/or provide recommendations to the Dean and Assistant/Associate Deans on administrative strategy, process improvement, and operational efficiency.
  • Manage day-to-day operations of the Dean’s Office, ensuring seamless support for academic programs, strategic initiatives, and faculty-led efforts.
  • Develop, implement, and continuously refine administrative processes to ensure alignment with MSU policies and support college-wide effectiveness.
  • Supervise, train, and evaluate two staff members and student or temporary employees as needed. Provide leadership, mentoring, and workload prioritization to support team and college success.

Fiscal & Budgetary Coordination
  • Collaborate with the College’s Budget and Fiscal Manager to monitor, reconcile, and forecast college budgets and expenditures.
  • Coordinate preparation and tracking of budgets for student programs, instructional support (graders, GAs), events, and special initiatives.
  • Serve as liaison to Fiscal Shared Services (FSS), University Business Services, and Procurement to ensure accurate and timely processing of financial transactions.
  • Analyze data and provide actionable reports to the Dean and unit leaders.

Human Resources & Personnel Coordination
  • Manage HR transactions and compliance for faculty (TT and NTT), staff, graduate assistants, and student employees.
  • Lead college-wide appointment process, ensuring accuracy and compliance in EPAFs, payroll processing, onboarding, and employment records.
  • Coordinate closely with the HR Service Center and Jabs HR Business Partner on personnel actions, audits, and workforce planning.
  • May act as Search Manager for staff and faculty recruitments, coordinating college-wide hiring process from posting to departmental onboarding.

College & Campus Liaison
  • Represent the Dean’s Office in cross-campus collaborations and serve as primary liaison to university administrative offices, including the Registrar, Graduate School, Provost’s Office, ITC, Financial Aid, OSP, International Programs, and others.
  • Ensure smooth communication and workflow between the Dean’s Office and academic option coordinators, committees, and administrative staff.

Admin Communications & Projects
  • Develop internal documentation, reports, and communications on behalf of the Dean’s Office as appropriate.
  • Coordinate projects as assigned by the Dean, including developing timelines, allocating resources, and measuring outcomes.
  • Oversee building operations, including technology and facilities coordination, in collaboration with relevant campus departments.
Required Qualifications – Experience, Education, Knowledge & Skills
  • Bachelor’s degree in a relevant field and/or progressively responsible administrative/office management experience (HR and fiscal management emphasis) or an equivalent combination of relevant education and experience.
  • Demonstrated effective communication and excellent customer service skills for internal and external constituents.
  • Demonstrated competence in prioritizing multiple work assignments/projects, meeting deadlines, and exercising adaptability to changing priorities while maintaining a positive, effective, and professional attitude.
  • Demonstrated competence in managing and maintaining records with a high degree of accuracy and close attention to detail, generating multiple reports and communicating complex information effectively to various constituents (students, staff, faculty, executives).
  • Demonstrated competence using personal computers and various software such as word processing, spreadsheets, database, website, presentations, email and the Internet. Microsoft Office software is preferred.
  • Preferred Qualifications – Experience, Education, Knowledge & Skills
  • Advanced skills in spreadsheets (Excel) and database management.
  • Supervisory experience or demonstrated skills in managing people.
  • Experience with budgeting, accounting and human resources.
  • Knowledge of MSU procedures and policies or previous experience working in an academic department in a higher education setting.
