Take charge as the campus lead and subject matter expert for the I-9 Tracker application and related employment authorization processes. In this dynamic role, you will ensure compliance with federal regulations by overseeing I-9 and E-Verify operations, providing essential training and guidance to HR personnel, and collaborating with both internal and external stakeholders on critical employment authorization and immigration matters.
Your expertise will be pivotal in supporting audit resolution, managing system security access, and driving university-wide HR initiatives. By promoting consistent and accurate employment eligibility verification across campus, you will play a key role in shaping the future of our HR operations.
Duties & Responsibilities
I-9 Tracking Application Leadership and Expertise
- Subject matter expert and campus lead for I-9 Tracker application, and associated components.
- Ensure Tracker system functionality, document system issues, and communicate resolutions to campus Tracker issues.
- Complete I-9 Reciprocal Processing on behalf of other employers via CUPA-HR Consortium.
- Review Tracker security requests, assessing if level of security and worksite access requested are accurate and appropriate, and continue processing approval accordingly.
- Lead biannual I-9 and E-Verify trainings, and update presentation materials in conjunction with Tracker and USCIS updates.
- Maintain organization of shared inbox.
I-9 and E-verify Compliance and Audit Maintenance
- Maintain and review I-9 and E-Verify audit reports, provide timely resolution with unit HR contacts for noncompliance issues, and provide noncompliance reports to unit and college HR leadership.
- Manage all components of E-Verify, striving to ensure compliance with federal requirements.
- Examine E-Verify Tentative Nonconfirmation cases and provide feedback to I-9 managers when clerical errors are discovered.
- Investigate and resolve E-Verify Tentative Nonconfirmation and Final Nonconfirmation cases, communicating directly with employees, and meeting with employees as necessary.
- Photo-match E-Verify cases, and follow up with unit when additional documents are needed.
Work Authorization and Immigration Documentation Management
- Review and obtain appropriate signatures for I-983 Training Plans for STEM-OPT Extensions, and I-485 Supplement J forms, in consultation with ISSS, to ensure consistent information is input on forms.
- Serve as liaison among ISSS, campus legal, and departments to assist in adherence with employee work authorization questions.
- Aid unit and college HR contacts in understanding acceptable work authorization documents to complete I-9s, and appropriated Visa types to use in HRFE.
- Receive weekly spreadsheet of work authorization shortenings from ISSS, and build and apply transactions in HRFE to reflect shortened work authorization.
University and Campus Committee Participation and HR Consultation
- Participate in university-wide and campuswide committees, representing the Urbana campus interest in University discussions of appointment-related topics and initiatives.
- Serve as HR consultant to campus and university administration offices, such as University Payroll and Benefits, Office for Access and Equity, International Student Scholar Services, Provost Office, Ethics Office, Title IX, research and/or student affairs as they may intersect with human resource functions.
Other duties as assigned.
Minimum Qualifications
- Bachelor’s degree in Human Resource Administration, Management, Organizational Administration, Public Administration, Labor Relations, Business Administration or a field closely related to the position.
- Two (2) years (24 months) of work experience performing professional-level human resources duties.

Appointment Information
This is a 100% full-time Civil Service 5020 - Human Resource Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 5/15/2025. The budgeted salary range for this position is $55,000 to $65,000.
