Position Summary: The Department of Mathematics in the School of Humanities and Sciences is seeking a Finance & Research Analyst to oversee the financial portfolios of the faculty in the Mathematics Department, which consist of unrestricted and gift funding, as well as pre- and post-award activity for sponsored research. This role will oversee, analyze, and report on the full compliment of the faculty funding portfolios including, grants, contracts, cost share, designated/unrestricted, and gifts and endowments. The successful candidate will be responsible for ensuring that unrestricted faculty accounts and all supported research activity in the department comply with Stanford, sponsor, and federal requirements, with minimum oversight from the Finance Manager. This role involves performing complex finance operations and/or activities connected to budgeting, forecasting, and expense management, which require specific knowledge, abilities, and broad application of policies, precedents, and systems within the context of internal policies and external regulations. This role also acts on behalf of the Finance Manager in their absence.

The position involves maintaining, reconciling, reviewing, combining, and validating financial data sets and accounts for all the faculty members, utilizing financial reports, financial databases, and key financial information. The successful candidate will also be responsible for developing, assembling, and submitting research proposals; account set-up; managing post-award financial activity; preparing customized reports; and responding to PIs, OSR, and sponsor requests as needed.

Understanding and ability to apply fundamental accounting skills and principles, as well as familiarity with pre- and post-award research administration, are required. Familiarity with Stanford Research Administration and completion of Cardinal Curriculum I or the newer CRAFT Level I course are preferred, but not necessary.

This is a 100% FTE, continuing exempt position. This position will be based on the Stanford campus and will be considered for an option of telecommuting (hybrid of working on-site and off-site), subject to operational need, but typically with a minimum of two days per week on campus.

CORE DUTIES:

* Maintain, reconcile, review, certify, create and approve expenditures on a monthly, quarterly or annual basis as needed for all faculty accounts, including unrestricted funds; advise on post award spending and commitment activity, and ensure compliance with fund and revenue regulations.

* Develop and communicate reports supporting project status; create effective forecasting and decision aids.

* Understand, apply, and advise on university and government policies for projects.

* Serve as a resource on subject area and overall technical resource to principal investigator and other university staff.

* Participate with principal investigator in the preparation of the administrative components of proposals within parameters of sponsored and non-sponsored research guidelines. Oversee and communicate submission process, both paper and electronic; review documents for completeness and compliance.

* Develop, prepare, and finalize PDRFs, project budgets, budget justification and other documentation as needed.

* Serve as liaison and active partner between principal investigators, staff, Office of Sponsored Research, research groups, and other departments; respond to sponsor inquiries.

* Collaborate with Office of Sponsored Research to ensure that sponsor deadlines are met, awards are set up properly and cost-sharing requirements are fulfilled; initiate cost transfers.

* Participate in contract closeout process; submit final reports and certificates. Compile information and documents needed for audit inquiries.

* Process and coordinate funding for graduate student support, salary offset, and summer supplements with minimal supervision.

* Participate in and contribute to process improvements.

* May participate as a mentor and provide cross-training as needed.

* Ad hoc reporting and data collection as needed for Financial Research Manager.

* Other duties may also be assigned.


EDUCATION AND EXPERIENCE:

* Bachelor's degree and three years of job-related experience, or combination of education and relevant experience.

KNOWLEDGE, SKILLS, AND ABILITIES:

* Basic knowledge of governmental regulations.

* Ability to understand, interpret, and communicate policies and procedures.

* Excellent oral, written, and communication skills.

* Excellent analytical skills; demonstrated proficiency in Excel and web-based tools.

* Strong accounting skills; knowledge of accounting principles.

* Ability to complete Cardinal Curriculum I and II within first year in role.

* Knowledge of procurement needs, including sole-sourcing, cost analyses, vendor requirements, and small business reporting.

* Knowledge of property management requirements related to Stanford or non-Stanford title of equipment and fabrications.

* Competency in project management.

* Extreme attention to detail.

* Ability to work well independently, but also to seek or offer assistance when needed.

* Ability to review a proposal or manage a project with understanding of the overall scope and goal of each sponsored project.

* Excellent time management and organizational skills.

CERTIFICATIONS AND LICENSES:

* Cardinal Research Administration Foundational Training (CRAFT) I and II must be completed to remain in this position.

* Certified Accountant or Auditor or similar credential desired.

In addition, preferred requirements include:

* Strong accounting skills knowledge of Generally Accepted Accounting Principles (GAAP).

* Cardinal Curriculum, Certified Accountant, Certified Auditor, or similar credential desired.

PHYSICAL REQUIREMENTS:

* List Frequently sit, grasp lightly, use fine manipulation and perform desk-based computer tasks, lift, carry, push and pull objects weighing up to ten pounds.

* Occasionally stand, walk, grasp forcefully, use a telephone, write by hand and sort and file paperwork or parts.

* Rarely lift, carry, push and pull objects weighing 11-20 pounds.

The expected pay range for this position is $93,871 to $109,557 per annum.
