Job Summary
University Human Resources is seeking a an Executive Recruitment Coordinator. This is a full-time (1.00 FTE), 12-month, professional faculty position.
The Executive Recruitment Coordinator is responsible for managing high profile executive searches across OSU as well as contributing to the overall UHR Recruitment Team’s efforts in supporting the university at large. This position will focus on delivering efficient and effective outcomes in the areas of executive search management alongside the UHR Recruitment Team.
The Executive Recruitment Coordinator will establish objectives, tasks, and timelines, and facilitate teamwork as needed to:
  • Proactively analyze and develop OSU’s recruitment services to meet/exceed executive recruitment trends and best practices.
  • Participate in unit-wide (HR Operations) goals and initiatives with university-wide scope.

The Executive Recruitment Coordinator will report to the Executive Director of University Human Resources.

Key Responsibilities
45% - Administration
  • Facilitate intake meeting with hiring unit to gather information regarding scope of the role and the department/division’s environment/culture/strategic goals to ensure candidate suitability.
  • Establish a search project plan in collaboration with the Search Chair and hiring authority.
  • Support the hiring unit in stakeholder engagement planning including surveys or listening sessions.
  • Assist with leadership profile development.
  • Provide guidance in candidate screening matrix development.
  • Design of abbreviated search specific application process in Applicant Tracking System.
  • Complete initial screening of applicant pool for search committee.
  • Assist with interview question development.
  • Work with identified search support from hiring unit to ensure logistical planning efforts occur including calendar holds for committee meetings, document development, facility/space reservations, interview scheduling and candidate travel.
  • Provide professional consultation and timely updates to hiring authority and search advisory committee.
  • Assist with content for position posting on internal OSU executive search website.
  • Prepare communication templates, messages, and reports to outline progress and activity for hiring unit, search committee and applicants.
  • Support OSU system processes and procedures required to engage candidates from selection through onboarding.
  • Provide professional/advanced guidance on recruitment best practices to recruit active and passive candidates.
  • Provide reference checking assistance when requested by hiring units.
  • Collaborate with the Recruitment Services Supervisor and Classification and Compensation Consultant to provide HR approval of final candidate selection and offer letter support.
  • Collaborate with other HR units (e.g. Background Check Program, Benefits, and Work Life, HRIS, and Onboarding) in order to resolve issues and/or provide a holistic approach as needed to assist with initial candidate onboarding.
  • Communicate information about policies, procedures, practices, trends, etc., related to recruitment and selection in a manner that can be understood by diverse campus clientele, external stakeholders, and prospective and active candidates.
  • Professionally address a wide variety of University personnel while building and maintaining relationships with a to promote and market internal recruitment services.
  • Provide guidance to hiring officials and search committee members on recruitment and selection best practices, policies, and procedures.
  • Use sound judgment when dealing with unusual (non-routine) situations and involve others in the reporting structure, as necessary.
  • Propose changes to processes and best practices

40% CANDIDATE ENGAGEMENT
  • Develop a deep sourcing list in collaboration with search committee members considering traditional and unconventional candidate career paths. Utilize comparator and aspirational peer contacts in this process.
  • Attend meetings with professional organizations to develop professional connections that will benefit the university.
  • Proactively develop and nurture relationships with qualified candidates to encourage their application for positions at OSU.
  • Receive documents from candidates and answer questions related to the search process.
  • Communicate with candidates throughout the search regarding questions and concerns. Assist with connecting candidates to the right individuals for strategic conversations.
  • Build and maintain relationships with potential candidates for future openings at the university and sources for referrals/nominations.
  • Utilize search practices that attract high quality candidates across a diverse spectrum of backgrounds and experiences.
  • Research and offer professional advice on recruitment strategies in specific fields and industries.
  • Ensure posting of positions on relevant technology and social media platforms.

10% RESOURCE DEVELOPMENT
  • Develop resources to support UHR and hiring units in facilitating a robust executive recruitment process and a positive candidate experience.
  • Collaborate across UHR functions to improve processes and candidate touchpoints.
  • Develop and produce marketing materials and branded search documents to enhance company visibility and support promotional efforts
  • Develop and continuously improve the executive recruitment function to attract and retain top-tier leadership talent, ensuring alignment with organizational goals and foster a robust pipeline of qualified candidates

5% OTHER DUTIES:
  • Completes other duties as assigned by Recruitment Services Manager and the Executive Director of University Human Resources.
What You Will Need
  • A bachelor’s degree or an equivalent combination of education and experience; at least 7 years of experience from which comparable knowledge and skills can be acquired is necessary.
  • Human Resources knowledge and experience.
  • Accurate, transparent, and detailed task-management skills.
  • Highly detail oriented with exceptional organizational and time management skills
  • Proven success delivering innovating sourcing and recruiting strategies for national leadership searches, preferably for complex organizations.
  • Exceptional communication capabilities.
  • Highly collaborative working style with strong relationship management skills.
  • Ability to understand complex concepts quickly and communicate them efficiently.
  • User-level experience with the following software: Database and reporting tools, Windows-based software, and Microsoft Office applications: Word, Excel, and PowerPoint.
  • User-level experience with an Applicant Tracking System, a Client Management System and HRIS systems.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
What We Would Like You to Have
  • Master’s degree in human resources related field.
  • Higher education recruiting experience.
  • Experience with multi-project management in healthcare, higher education, and/or large non-profit organizations.
  • Experience with Workday.
  • Experience with marketing and branding.
  • Possess SHRM or HRCI certification.
Working Conditions / Work Schedule
This position may work across the university with hiring units. The possibility of remote work once a week will be considered based on business needs. Normal business operation hours are Monday-Friday, 8:00 am to 5:00 pm, however, this is an exempt position that may require work outside of these hours including evening and weekend work.
