BASIC FUNCTION:
Under the direction of the College of Health Sciences (CHS) Chief Business Officer (CBO) and Business Manager, coordinate the administrative and operational business functions of all CHS departments and units. Provide critical information and policy/procedure updates to the College and administrative staff. Assist with the establishment, implementation, and training of new processes and procedures.
Duties and Responsibilities
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Assist the Dean, Department Chairs, Unit Managers, Chief Business Officer, Business Manager, faculty, and staff supporting them in a variety of activities related to the programmatic, administrative, and operational functions essential for the efficient functioning of all CHS departments and units. Compile data and financial reports as needed, including personnel and budget reports for the Dean, Department Chairs, Unit Managers, or the Business Manager. Assist with the development of departmental reporting systems to comply with regulation changes and university initiatives. Train and coordinate appropriate staff as required, and interpret and apply university instructions, policies, plans, objectives, and rules and regulations to subordinates and others.
Monitor assigned accounts and maintain accurate financial records utilizing the university-wide accounting and management systems and applications. Maintain CHS Brightspace forms, including submissions for IP1 approvals, cash advance requests and reconciliations and additional hour requests for graduate assistants. Maintain a working knowledge of, and adhere to, University standards and guidelines related to service center operations, fee accounts, and cash receipts.
Facilitate all procurement activities for the Dean’s Office department, including responsibility for the preparation and initial approval of requisitions for materials, equipment, supplies, and services; Supervise the maintenance of an inventory control system for such materials, equipment, and supplies.
Assist with the preparation, maintenance, and control of files and records relating to personnel actions.
Act as PCard Department Administrator for CHS P-Card holders, currently fiscal and administrative staff.
Prepare travel documentation processes as needed. Function as primary backup for the approval of related transactions. Facilitate travel from the Central Travel pool held at the Dean’s Office.
Prepare and maintain spreadsheets for financial reporting and analysis.
Interact with the departments and units as a liaison with the Chief Business Officer, Business Manager and Dean.
Manage liability insurance and compliance with Payment Card Industry in coordination with CBO.
Responsible for Managing Space Renovations and usage with CBO.
Supervise administrative support staff and students as assigned. Act as a backup to administrative staff and Business Manager.
OTHER DUTIES AND RESPONSIBILITIES:
Perform other duties as required.
LICENSES, TOOLS, AND EQUIPMENT:
Personal computers, printers, word processing, databases, spreadsheets, grant support software, time accounting software, university enterprise software and library-based software and applications. Microsoft Office.
Required Qualifications
REQUIRED:
1. Bachelor’s degree.
2. Minimum of three years of academic, finance, research, business, or public administration experience in a complex setting.
3. Demonstrated familiarity with the principles, practices, and procedures of business management.
4. Demonstrated budget experience (i.e., preparation and execution, procurement of materials, equipment, and supplies, concepts, inventory control and disbursement).
5. Demonstrated collaborative workstyle.
6. Demonstrated ability to balance multiple priorities in a deadline-driven environment.
7. Demonstrated experience analyzing data sets.
8. Demonstrated experience with Microsoft Office Suite (including Excel, PowerPoint, and Word).
9. Demonstrated strong interpersonal and verbal communication skills.
10. Demonstrated proficiency in written communication skills.
11. Demonstrated ability to interpret institutional policies, plans, objectives, rules, and regulations and communicate that to others.
12. Demonstrated supervisory experience.
13. Demonstrated ability to work with diverse groups/populations.
Preferred Qualifications
PREFERRED:
1. Demonstrated experience in a higher educational setting.
2. Demonstrate experience utilizing PeopleSoft software including purchasing, travel, human resource, and financials modules.
3. Demonstrated experience working with grant applications and grant accounting.
4. Demonstrated experience working with undergraduate and graduate students.
