The School of Education is seeking to appoint a well-organised and proactive Executive Assistant to provide administrative support to colleagues within the School and specifically the Head of School and School Manager. Working as part of the Executive Team the role holder will be a point of contact for School administration enquiries, triaging requests, taking ownership of tasks or transferring these on to colleagues within the wider Professional Services Team to progress as appropriate. Typical administrative tasks will include administrative enquiries and tasks from staff and students, support for booking national and international travel, complex diary management, arranging high level regional and national meetings and dealing with incoming communications via a variety of media.
The role is fixed term to 31st July 2026.
We offer flexible working, with a mixture of working within the office (minimum three days per week) and working hybridly, dependant on operational requirements.
The role is office based a minimum of three days per week with the role holder working from the reception area within the School and two days per week hybridly progressing the majority of administrative tasks and enquiries within the School. Key tasks will include diary management, meeting arrangements and general enquiry management on behalf of the Head of School and School Manager, students and academic staff, creating documents and reports from an outline brief, developing electronic filing systems, spreadsheets, and, using and understanding central databases and information systems, servicing team and departmental meetings, following various Finance procedures, and working with a network of contacts to support the role holders work-related activities.
Typical tasks could also include dealing with less routine activities, solving problems including more complex ones, acquiring knowledge of systems and processes required by the post holder, assisting with human resources processes in the School, and supporting colleagues within the team.
We would like to hear from you if you have experience of working autonomously in a busy and demanding environment (ideally within university administration), proficiency in Microsoft Office, email, web and general office systems and have an adaptable, flexible approach in meeting the needs of senior managers and academic staff. Suitable applicants will have demonstrable knowledge of office procedures, experience of assessing and responding to non-routine work queries with the ability to using initiative to resolve problems and escalate where appropriate, excellent written and verbal communication skills, proven ability to interact effectively at all levels with both internal and external stakeholders, and a commitment to service quality and discretion.
