Project Associate / Project Assistant

Duties 

The appointee will assist the project leader in the research project - “Second phase of the Jockey Club Diversity at Schools project”.  He/She will be required to:

(a) assist in planning, organising, and executing helpdesk-related tasks; 

(b) maintain documentation, including timelines, task lists and progress reports; 

(c) coordinate with team members to ensure meeting project milestones;

(d) schedule and organise meetings, and prepare agendas and document minutes; 

(e) coordinate with teachers and students (of participated project schools) to address their inquiries;

(f) liaise with vendors to deal with their inquiries; 

(g) conduct and analyse the feedback from stakeholders after events; 

(h) update the contents of the project website periodically;

(i) monitor overall progress and ensure that progress, financial and KPI reports are timely produced;

(j) maintain and update school list and related documentation;

(k) assist in preparing reports, presentations and other materials for the helpdesk team;

(l) order and manage inventory of required items in helpdesk;

(m) handle communication with vendors and service providers as needed;

(n) provide high quality customer service by responding promptly and professionally to user inquiries;

(o) organise the forum and promotional event as required;

(p) act as a liaison between the student data team and other project team regarding project management; and

(q) perform any other duties as assigned by the project leader, the Head of Unit or their delegates.

Qualifications

Applicants for the Project Associate post should have a master’s degree in Information Technology (IT), Business Administration or a related discipline or a good honours degree in one of the afore-mentioned disciplines with three or more years of research/relevant work experience in helpdesk, IT support or administrative role.

Applicants for the Project Assistant posts should have an honours degree in one of the afore-mentioned disciplines or an equivalent qualification.

For all posts, applicants should have:

(a) proficiency in Microsoft Office 365 Suite and basic IT troubleshooting;

(b) strong organisational, communication and problem-solving skills; and

(c) ability to work independently and as part of a team.
