Job Summary
The Department of Occupational Science & Occupational Therapy provides the only provincial program for the education of entry-to-practice occupational therapists. Through rigorous scholarly activity, high standards of instruction and creative opportunities for learning, the Master of Occupational Therapy (MOT) provides a strong foundation that supports the current and future practice of the profession.
The UBC MOT program is one of the leading Occupational Therapy Programs in Canada. The program is fully-distributed and provides students the opportunity to study in state-of-art labs at UBC’s campus in Vancouver, in the Fraser Valley, and at UNBC’s campus in Prince George.
The Department of Occupational Science & Occupational Therapy’s Education Support Tech (EST) provides high-quality, daily classroom and program support for all of the Department's programs at the Point Grey site. The EST will ensure that teaching and learning spaces are set-up for classes by gathering and organizing equipment, ensuring equipment is in working order, and keeping teaching spaces organized and efficient.
This role is also the point of contact and administrator for the learning management system, Canvas. The EST will also provide support to faculty and external instructors in developing and updating curriculum materials for online and distributed education. The incumbent will assist in the implementation of the distributed MOT Program by working with the Associate Head of Academic Affairs and the Administrative Director to develop policies, procedures and training materials related to education technology and curriculum materials for a remote or distributed learning environment.
The EST is required to respond on very short notice and resolve issues that arise in an efficient, calm, and customer-service oriented manner. To fulfil the operational requirements of this position, the incumbent will be required to start work at 8:00 am, must be physically able to lift and move equipment such as therapy beds, clinical equipment, stacked chairs, etc., and work in-person 100% of the time.
The incumbent will also act as a liaison with MEDIT/UBC IT to ensure audio-visual equipment that facilitates learning functions correctly.
Organizational Status
This position works from general directives of the MOT Curriculum Coordinator, and under the direct supervision of the department Administrate Director. The position liaises with faculty, clinical faculty, external instructors, staff, students, the public, and vendors. The incumbent works closely with other university service units such as UBC IT Services, the LT HUB and Faculty of Medicine MedIT as appropriate.
Work Performed
Classroom & Program Support:
- Responsible for daily organization of teaching and learning spaces at the Vancouver Campus for two cohorts of students, such as: setting up spaces, tear-down and organizing, and maintenance of equipment in clinical teaching spaces.
- Supporting instructors and responding to and resolving complex issues in teaching spaces that arise with little notice, assisting faculty and instructors (some of whom are unfamiliar with UBC procedures) in a prompt, helpful and courteous manner.
- Liaises with MEDIT/UBC IT to resolve videoconferencing issues in teaching spaces and meeting rooms.
- Performs preventative maintenance on teaching equipment and submits requests for maintenance on AV equipment.
- Monitors equipment inventory and ensures new or replacement items are ordered and purchased in a timely manner. Orders, tracks, and receives equipment for program delivery. Tracks and reconciles purchases to equipment and teaching supplies re costs remain within allocated budgets
- Maintains storage areas for teaching and exam equipment. Ensures storage areas are well organized and equipment is accessible and easily found by instructors.
- Receives Equipment and teaching space requirements from course coordinators, faculty and external instructors and ensures those requirements are met.
- Liaises with Classroom Operations staff at other sites to ensure substantial equivalency in learning space set up and equipment use to ensure accreditation requirements are met
- Liaises with Building Operations to maintain teaching and learning spaces. Initiating maintenance tickets when necessary.
- Receives and responds to all room booking requests on site from within and outside the Department, maintains the site’s internal room booking calendars. Ensures external room bookings meet Department policy guidelines.
- Supports all departmental program events, such Orientation Week, Induction ceremony, Capstone and graduation as needed.
- Provides feedback into policies and procedures to ensure safe and smooth operations of all programs and activities on site
- Liaises with Classroom Support Teams at other sites to improve processes, and continually works to increase program efficiency and client satisfaction
Education Tech Support:
- Oversees the department's learning management system, CANVAS: Managing access, providing advice and guidance to faculty in the use of education technologies and learning management systems in the remote and/or distributed learning environments.
- Maintains and updates a common look and feel for department CANVAS sites in-keeping with UBC Branding and guidelines.
- Ensures appropriate learner and instructor access to resources.
- Coordinates with MedIT the recording of sessional material as requested. Establishes a procedure to archive material and provide access to learners when required.
- Assists in the programming of online modules and learning artifacts using software and media authoring tools for e-learning.
- Prepares training materials to support faculty in the use of education technologies and learning management systems in the remote and/or distributed learning environments.
- Stay up-to-date with new current education technologies, through training and engagement with other university groups such as MEDIT, Faculty Development and CTLT.
- Ensures private data is handled according to UBC Data Privacy and Security guidelines.
- Performs other related duties as required.
Consequence of Error/Judgement
Errors in judgment and communication will seriously impact the reputation of the Department the Master of Occupational Therapy Program. As the program relies on videoconferencing and AV technology for distributed learning at all program sites, errors or delays in response to these issues could negatively affect students, especially those at distributed sites. Repeated errors of this kind could impact the accreditation status of the distributed MOT program. As well, the program relies heavily on accurate space set up and functional equipment, room bookings, and learning management software. Errors could negatively impact students and instructors to teach and learn to the best of their abilities.
Supervision Received
This position works from general directives of the Senior Program Coordinator and the Associate Head of Educational Affairs, and under the direct supervision of the Administrative Director. The position will work in a team environment and liaises with faculty, clinical faculty, external instructors, staff, students, the public, and vendors. As well as working closely with UBC IT Services, the LT HUB and Faculty of Medicine MedIT as appropriate.
Supervision Given
May formally train and assign work to Work Learn students.
Minimum Qualifications
High School graduation, plus one year of post-secondary education, plus three years of related experience, or an equivalent combination of education and experience.
Preferred Qualifications
Minimum of two years related experience in educational support or the equivalent combination of education and experience. Experience with Educational Technology an asset. Must be able to prioritize and multi-task in an environment that is often unpredictable. Must have effective customer service, interpersonal, organizational, oral and written communication skills. High accuracy and strong attention to detail is required. Enthusiastic, responsible and culturally sensitive. The ideal candidate is able to adapt to working with the different personalities of those who work in the Department and external instructors in order to best accommodate to their needs.
Familiarity with computers, audio-visual, and medical equipment an asset.
Ability to prioritize and work effectively under pressure to meet deadlines.
Ability to communicate effectively verbally and in writing.
Ability to effectively resolve complaints in a calm, non-confrontational manner, and by exercising sound judgment.
Ability to exercise tact and discretion.
Ability to work independently on site, as well as part of a team across all locations.
Ability to analyze problems, identify key information and issues, and effectively resolve time-sensitive situations.
Knowledge and experience supporting audio-visual hardware and software procedures and practices.
First Aid/CPR certification would also be an asset.
Physical ability to perform the duties of the job. (e.g., lifting, standing, working at heights).
Previous experience working in a college or university setting.
Occasional over-time or weekend work may be required during exams or events.
